A Fellow or authorised partnership lead records the enquiry and checks initial fit.
Discovery
Objectives, audience, budget, timing and requested rights are explored.
Recommend
The Fellow prepares an internal package and activation recommendation.
Presidential Review
The President reviews, negotiates and approves material commercial terms.
Proposal
An approved written proposal and draft agreement are issued.
Signature
The agreement becomes binding only when signed by an authorised company signatory.
Payment
Fees are completed by the agreed deadline; onboarding then begins.
Negotiations, approvals and finalisation
All material negotiations, pricing approvals, package variations, benefit substitutions, official-domain decisions and finalisation are handled by, or require the express authorisation of, the President, Dr Hariharan Narendran. Fellows may research, qualify, introduce and support prospective sponsors, but may not independently commit PathoNexus Ltd.

Annual flagship ambition
Akal Budi AI is intended to become an annual Malaysia–Europe AI diaspora event, building continuity, trust and expanding cross-border value year after year.
Subject to successful delivery, feasibility and partner alignment, Paris or Geneva are proposed as potential future European destinations for Malaysians.

NeuroCampur.com by Astavalence is the public-facing organiser identity for Akal Budi AI 2027 and is a trading name used by PathoNexus Ltd, a British AI Company. PathoNexus Ltd | Registered in England and Wales | Company No. 17122776 | Registered office: 3rd Floor, 86-90 Paul Street, London EC2A 4NE, United Kingdom.
Binding agreement
No sponsorship or partnership arrangement is binding unless and until the final written agreement is signed on behalf of PathoNexus Ltd by a director or another duly authorised signatory.
Payment
Unless otherwise agreed in writing, all sponsorship fees must be paid in full by 15 December 2026.
Non-refundability
Fees are non-refundable once paid, except if the conference is cancelled in its entirety and does not take place, or where PathoNexus Ltd expressly agrees otherwise in writing.
Final agreement
The signed agreement controls the complete rights, obligations, assumptions, remedies, production responsibilities and any approved variations.
Commercial safeguards
Programme changes
A change to a speaker, session, room allocation, format or timetable does not automatically constitute cancellation.
Editorial control
Speaking roles, content, claims, brand use and sponsor activations remain subject to editorial, reputational and operational approval.
Exhibition delivery
Booth dimensions, furniture, power, production, staffing and responsibilities are confirmed in the final agreement and approved floorplan.
Data protection
Sponsor contact pathways are permission-based. No unrestricted attendee list is promised.
Exclusivity
Official-domain protection is limited to the precise category definition agreed in writing.
Liability
Any cancellation remedy, liability limit and treatment of third-party costs will be governed by the signed agreement.
